Demonstrates competence in the performance of duties and responsibilities related to the administrative support of the Care Coordination Department.
Serves as the first line for department communications for employee payroll and work schedule management.
Supports the delivery of special project completion as assigned.
Optimizes the available information technology to promote efficient department functioning and profession presentation of data and education.
Possesses exceptional interpersonal skills.
Responsibilities:
Meeting Coordination:
Schedule and coordinate meetings, ensuring availability of participants and appropriate meeting rooms.
Assist in booking rooms for meetings and ensuring necessary equipment and resources are available.
Attend meetings as required, take accurate minutes, and prepare concise meeting summaries.
Referral Management and Order Entry:
Assist in managing the referral queue, entering orders accurately into the hospital system.
Collaborate with healthcare providers to ensure timely processing of referrals and orders.
Document Management:
Handle faxing and scanning of important documents, maintaining a well-organized digital and physical filing system.
Assist in managing and updating departmental documents and records.
Epic System Support:
Collaborate with the Nurse Lead to create and maintain the background schedule within the Epic system.
Assist in navigating the Epic system to ensure accurate patient information and scheduling.
Financial and Administrative Support:
Process invoices, ensuring accuracy and adherence to hospital policies.
Assist in reconciling charges and managing departmental budgets.
Process education and travel reimbursement requests, ensuring compliance with reimbursement policies.
Interview Coordination:
Schedule interviews for Nurse Managers and other departmental staff as needed.
Communicate with candidates, coordinate interview schedules, and provide necessary information.
Communication and Collaboration:
Maintain effective communication with team members, physicians, and other hospital staff.
Collaborate with various departments to streamline administrative processes.
Quality Control and Recordkeeping:
Ensure accurate and thorough documentation of administrative processes, records, and reports.
Perform periodic reviews to identify areas for improvement and suggest process enhancements.
Qualifications Experience Minimum Required Demonstrates competence in the performance of duties and responsibilities related to the administrative support of Care Coordination and Clinical Education Departments.
Serves as the first line for department communications for employee payroll and work schedule management.
Supports the delivery of special project completion as assigned.
Optimizes the available information technology to promote efficient department functioning and profession presentation of data and education.
Possesses exceptional interpersonal skills.
One to three years of administrative experience supporting leadership roles.
Competent computer literacy.
Experience Preferred/Desired Proficient computer literacy.
Previous work experience in a hospital setting.
Education Minimum Required Associate's degree.
Education Preferred/Desired Bachelor of Science degree.
Training Minimum Required Customer service.
Training Preferred/Desired Medical terminology.
Project management.
Special Skills Minimum Required Exceptional interpersonal skills.
Special Skills Preferred/Desired Spreadsheet, graph, pivot table, and control chart creation expertise.
